Define the reference product

Provide an approved sample, drawings or clear specifications. Include the relevant dimensions, materials, colour, finish and branding requirements.

Name the defects that matter

Describe known concerns in concrete terms, such as loose stitching, scratches or incorrect logo placement. Photographs can help explain the difference between an acceptable variation and a defect.

Include the packaging

Share the expected unit packaging, carton markings, quantities and carton requirements. Packing checks should reflect how the goods will be handled and shipped.

Agree the inspection scope

Confirm the location, goods readiness, sampling approach and checks to be performed. If a check needs specialist equipment or a laboratory, arrange that separately.

Decide how findings will be handled

Identify who receives the report and who decides whether goods need rework, further checks or another action. Keep shipment decisions separate from assumptions about what an inspection guarantees.
